The Role:

  • This function incorporates both customer service and negotiator support functions
  • Preparation and typing of documents, reports, minutes of meetings and general day to day correspondence to support a busy department
  • Audio typing (90%) – Copy Typing (10%) using MS Office 2010
  • Actively assisting/managing correspondence, diaries and actions list for residential directors
  • Proactively taking instruction from audio tapes – if applicable
  • Answering/directing of calls and assisting in ensuring all enquiries are actioned in a timely manner
  • General accounts including invoicing, using in-house e-business system
  • Use of in-house property system – Agency Manager
  • Filing, photocopying and other ad hoc duties as and when required
  • Taking part in a pooling system with other administrative support in the building if additional help is needed in other departments on an ad-hoc basis
  • Working closely with residential customer service regarding brochures & bulletin specifications and deadlines
  • Showing properties to buyers (as selected by negotiators and agreed by Directors)
  • Liaising with negotiators on a daily basis, at the start and end of each day reporting back after viewings
  • Following up on viewings maintaining a KPI of 24hours
  • Follow up on applicants within Reapit system & manage applicants
  • Assist with organisation of weekend viewings when necessary
  • Attend appointments when necessary
  • Providing excellent level of customer service
  • Taking inbound/making outbound calls, dealing with email enquiries
  • Responsible for front of office duties including meet and greet/liaising with potential clients who call into the office
  • Confirm all appointments & inspections with negotiators and vendors if necessary
  • Brochure Display, Window Display
  • Update and maintain house List and collate same for distribution


  • Desired experience in MS Office and Reapit with ability to learn new processes effectively
  • Audio typing experience preferable
  • Previous experience within residential sales/ Lettings is desired
  • First-rate customer services skills with an outstanding ability to liaise with vendors and buyers
  • A keen interest in residential sales
  • A positive attitude towards their work
  • Willingness to work as part of an interactive team
  • An ability to build and maintain good networks internally and externally
  • Demonstrate excellent communication both verbal and written skills and  hold excellent interpersonal skills
  • Possess self-management  skills and  the motivation to  efficiently plan and organise their own work time

  • Must want to seek career progression to a licenced negotiator function or similar
