An opportunity has arisen for a Property Manager to assist with our commercial property portfolios in Cork.

Duties will include (but are not limited to) the following:

  • Responsible for the day to day management of a mixed use commercial portfolio on behalf of landlords/ management companies
  • Work with the PM accounts team for collection and remittance of rents and service charges, insurance premiums etc, preparation of service charge budgets
  • To manage portfolio of properties with minimum supervision
  • Liaise with clients on a regular basis updating them on property matters and keep a log detailing key contacts with the client
  • To undertake and ensure completion of scheduled inspection surveys of properties and compile comprehensive survey reports
  • Complete new tenancy/rent review/lease renewal/new client/new property forms accurately and timely
  • To use the Tramps Database and follow procedure in doing so
  • Follow procedure for authorisation of creditor invoices ensuring costs are coded correctly and priced as agreed on instruction.
  • Preparation in of service charge budgets and budget narratives
  • Review annual expenditure and prepare the service charge year end narrative using the provided template.
  • Maintain an accurate schedule of areas for each property
  • Maintain an accurate and suitable apportionment schedule on each property
  • Respond in a timely manner to and deal with all tenant queries
  • Deal with all tenant applications for landlords consent in a timely manner
  • Notify the client of all upcoming lease diary events i.e. rent reviews, lease expiries and break clauses
  • Ensure all rent review, lease renewal and break information is kept up to date on tramps
  • Provide a schedule of all upcoming lease diary events to the professional services/agency team on a regular basis to maximise cross selling opportunities
  • Maintain an up to date rating schedule for your properties showing valuations, rates payable and the most up to date multiplier
  • Manage planned and reactive maintenance at properties in your management portfolio, implementing and managing a planned preventative maintenance programme where suitable.
  • Appoint contractors where necessary to carry out maintenance at properties
  • Use purchase order system at all times when procuring contractors services
  • Responsibility for risk management at properties under your management ensuring compliance where possible with all legislation in respect to H&S, managing asbestos, water safety, DDA and any other relevant legislation
  • Ensure compliance with all insurance requirements at properties under your management
  • Notify insurers of all tenancy changes at the properties under your management
  • Follow procedure and agreed timelines with regards to processing insurance claims
  • Have responsibility for and work with the credit controller to ensure timely and accurate collection of all monies in line with any KPI’s or Service Level Agreements in place with clients
  • Any other duties commensurate with the role of Property Management surveyor
  • Proactively seeking new business opportunities and highlight them to the relevant Lisney personnel
  • To comply with the guidelines of the Lisney Employee Staff Handbook
  • Actively striving to increase the profitability of the Lisney Property Management portfolio in the Cork/Southern Region.

The ideal candidate:

  • Minimum 3-5 years’ experience in a similar position
  • Motivated and driven to work independently
  • Preferably MSCSI/MRICS qualified
  • Full clean driving licence essential
  • PSRA licence category D
  • Must be self-motivated, results orientated with a passion for business development
  • Possess strong technical knowledge of Health and Safety, Water Safety, legislative and regulatory requirements.
  • Preferably but not essentially, have a good understanding of; Estate Management Software, Building Preventative Maintenance Software packages and FM help desk programs.
  • Have experience in the preparation of Service Charges and/or FM Annual Budgets including, estimating, cost control and analysis of financial reports. Good numeracy and writing skills are therefore important
  • Have a fundamental understanding of Landlord & Tenant legislation
